By booking the Form Studio Pilates Retreat, you agree to the following Terms & Conditions.
1. Booking & Payment
To secure your place at the retreat, a non-refundable deposit of CHF 1,000 is required at the time of booking.
The remaining balance must be paid according to the payment plan selected at checkout.
Payment options for Early Bird Phase 1 bookings:
- 2 Payments: Deposit + remaining balance due 30 May 2026
- 3 Payments: Deposit + remaining balance split into two instalments due 30 May 2026 and 30 July 2026
These payment deadlines apply to Early Bird Phase 1 bookings only. Payment schedules for **Early Bird Phase 2 and Standard Pricing bookings may differ and will be communicated at the time of booking.
All payments must be completed by the final payment deadline in order to attend the retreat.
If payments are not completed on time, Form Studio reserves the right to cancel the booking and retain the deposit.
2. Deposits & Refund Policy
The CHF 1,000 deposit is non-refundable under all circumstances.
If a participant cancels their booking before 14 September 2026, 30% of the total selected room price will be refunded, minus the non-refundable CHF 1,000 deposit.
If cancellation occurs on or after 14 September 2026, no refund will be issued.
In the case of serious illness or medical circumstances, participants may request a refund by providing a valid medical certificate and written explanation. In such cases, Form Studio may, at its sole discretion, refund any amount paid beyond the non-refundable deposit.
Form Studio reserves the right to request additional documentation to verify the medical circumstances before issuing any refund.
If the participant is able to find a replacement guest to take over their booking, the remaining balance may be transferred to the new participant and refunded accordingly (excluding the non-refundable deposit).
All cancellation requests must be submitted in writing via email.
By completing a booking, the participant acknowledges and agrees to this cancellation policy and understands that refunds will be issued strictly in accordance with these terms.
Form Studio is not responsible for any additional costs incurred due to cancellations, including flights, travel, insurance, or other personal expenses.
3. Automatic Payments & Third-Party Payment Processing
Payments for the retreat are processed through Stripe, a third-party payment provider.
By completing a booking and paying the deposit, the participant acknowledges and agrees to the use of Stripe as the payment processor for all retreat-related transactions.
When paying the deposit via Stripe, the payment method used will be securely stored on file. By selecting a payment plan at checkout, the participant authorises Form Studio to charge the remaining instalments to the card on file via Stripe on the agreed payment dates associated with the selected payment plan.
Participants are responsible for ensuring that the payment method on file is valid and has sufficient funds available on the scheduled payment dates.
If a scheduled payment fails, Form Studio reserves the right to request an updated payment method. Continued failure to complete payments may result in the cancellation of the booking, with the deposit remaining non-refundable.
4. Travel & Insurance
Participants are responsible for arranging their own:
- Flights
- Travel documentation
- Travel insurance
- Transportation not included in the retreat package
Form Studio strongly recommends purchasing comprehensive travel insurance, including coverage for cancellations, medical care, and travel disruptions.
5. Health & Participation
By attending the retreat, participants confirm that they are physically able to participate in Pilates and wellness activities.
Participants are responsible for informing instructors of any injuries, medical conditions, or physical limitations prior to participating in classes or activities.
Participation in all activities is voluntary and undertaken at the participant’s own risk.
Form Studio reserves the right to refuse participation in activities if an instructor believes it may pose a risk to the participant’s health or safety.
6. Limitation of Liability
By attending the retreat, participants acknowledge that participation in Pilates classes, fitness activities, workshops, excursions, and other retreat activities involves inherent physical risks.
Participants agree that they voluntarily participate in all activities at their own risk and are responsible for monitoring their own physical condition during the retreat.
Form Studio, its instructors, staff, partners, and venue providers shall not be held liable for any injuries, illnesses, damages, losses, or accidents that may occur during or in connection with the retreat, including during Pilates classes, excursions, transportation, or other activities.
By booking and attending the retreat, participants **release and hold harmless Form Studio, its instructors, employees, partners, and venue providers from any claims, liabilities, or damages arising from participation in the retreat.
7. Accommodation
Rooms are allocated according to the specific room type selected and booked by the participant.
Participants booking shared rooms may request a specific roommate where applicable. Form Studio will do its best to accommodate these requests but cannot guarantee them.
Once booked, the selected room type and pricing are secured for the participant. Room changes will only occur in exceptional circumstances and, where possible, will be upgraded to a room of equal or higher value at no additional cost to the participant.
8. Retreat Changes & Cancellation by Form Studio
Form Studio reserves the right to make minor changes to the retreat schedule, instructors, or activities if necessary.
In the unlikely event that the retreat must be cancelled due to unforeseen circumstances beyond Form Studio’s control, participants will receive a refund of payments made directly to Form Studio.
Form Studio is not responsible for additional costs incurred by participants, including flights, travel arrangements, insurance, or other personal expenses.
9. Photography & Media
During the retreat, photos and videos may be taken for marketing and promotional purposes, including use on websites, social media, and other promotional materials.
By attending the retreat, participants grant permission to Form Studio to use this content.
Participants who prefer not to appear in media must notify Form Studio in writing prior to the retreat.
10. Code of Conduct
Form Studio aims to create a supportive, respectful, and inclusive environment for all participants.
Form Studio reserves the right to remove any participant whose behaviour is disruptive, unsafe, or disrespectful to others, without refund.
11. Payment Disputes
By completing a booking and submitting payment, the participant acknowledges and agrees to these Terms & Conditions, including the deposit, payment schedule, and cancellation policy.
Participants agree not to initiate a chargeback or payment dispute with their bank or payment provider for payments made in accordance with these Terms & Conditions.
In the event of a payment dispute or chargeback, Form Studio reserves the right to provide proof of acceptance of these Terms & Conditions, booking confirmation, and payment agreements to the relevant payment provider or financial institution.
Participants agree to contact Form Studio directly to resolve any payment concerns prior to initiating a dispute.
12. Acceptance of Terms
By completing a booking and paying the deposit, participants confirm that they have read, understood, and agreed to these Terms & Conditions.
